The Importance of Providing Data Monthly
To ensure accurate reporting and analysis in ProfitLens, it is important to load your Agency Management System (AMS) reports consistently each month.
Different reports serve different purposes, and loading them regularly allows ProfitLens to provide meaningful trends, benchmarks, and insights into your agency's performance.
Book of Business Reports
Book of Business reports provide a snapshot of your agency's active business at a specific point in time. Rather than reporting on activity over a date range, these reports should be run as of a specific date and time.
Consistency is essential. Running and loading Book of Business reports on the same day each month allows ProfitLens to accurately compare snapshots of your agency over time, including:
- Month-over-month comparisons
- Year-to-date analysis
- Year-over-year trends
- Changes in your active book of business
Some Agency Management Systems do not allow users to run historical Book of Business reports for prior dates. Because of this, it may be beneficial to set a recurring calendar reminder to run your Book of Business reports on the same day each month.
Production Reports
Production Reports differ from Book of Business reports because they are transaction-based. These reports are built from accounting entries that represent business activity, such as policy transactions, commissions, and other production-related events.
Production Reports should be loaded on a rolling 12-month basis every month.
Unlike Book of Business reports, most management systems can recreate Production Reports for previous time periods if needed. However, loading a full 12 months of data each month helps ensure that ProfitLens has the complete transaction history needed for accurate reporting and analytics.
Why a Rolling 12 Months Matters
Different areas of ProfitLens rely on data from your Book of Business and Production Reports to calculate metrics, trends, and performance indicators. Some management systems may also require additional reports to be loaded each month.
Loading a full rolling 12 months of data each month is important because it allows ProfitLens to:
- Analyze trends accurately over time
- Maintain complete transaction histories
- Display reliable performance metrics
- Support benchmarking and historical comparisons
- Ensure reporting tools have access to all required data
Best Practice
To get the most value from ProfitLens:
- Run your Book of Business report on the same day each month.
- Load Production Reports on a rolling 12-month basis every month.
- Follow the loading requirements for your specific management system.
- Avoid skipping months, as gaps in data can impact reporting accuracy.
Report Submission Requirements
All required AMS reports must be submitted to [email protected] no later than the 15th day of each month.
Reports should contain data through the end of the prior month. For example, August data must be submitted by September 15.
To help ensure reports are processed efficiently, please include the following information in the file name whenever possible:
- Agency Name
- Reporting Month and Year
- Report Type (ex. BoB, Production, Customer Analysis, etc)
Example file names:
ABC Insurance_August 2026_Book of Business.xlsxABC Insurance_August 2026_Production Report.xlsxABC Insurance_August 2026_Customer Analysis.xlsx
Consistent file naming helps our team quickly identify, process, and validate submitted reports, reducing delays and improving reporting accuracy within ProfitLens.
Key Takeaway: Consistent monthly report loading is critical to maintaining accurate and complete data in ProfitLens. Loading reports on a regular schedule, including a rolling 12 months of Production data, ensures that trends, analytics, and reporting tools provide the most reliable insights into your agency's performance.
