Self Sourcing Data Request Instructions

Thank you for your partnership. This document identifies the required monthly data points and outlines the submission process for your agency.

Every agency uses a different setup (e.g., AMS360, Applied Epic, EZlynx, QuickBooks, etc.). Because we do not have access to your specific platform, this guide does not provide step-by-step instructions on how to run reports. Instead, you will need to locate where these specific data fields reside within your own system's reporting modules. We highly recommend documenting and saving your agency's specific click paths and report settings locally to make this process quick and easy each month.

  • If you do not reconcile commissions: Your management system's production report will be blank. To bypass this, you might look for a "Written Business" or "Invoiced Business" report, which typically pulls data based on dates rather than reconciliation status.

  • If you track finances outside your management software: You might find these figures by running a Profit & Loss Detail or Sales by Customer report within your accounting software (such as QuickBooks).

Required Data Fields

Each month, please extract the following data points into the provided Excel template - attached.

Mandatory Fields

  • Invoice Month & Year: The specific month/year being reported.

  • Premium: Total premium amount written.

  • Non-Premium: Fees or non-premium charges.

  • Revenue: Total agency revenue earned.

  • Parent Company: The top-level insurance organization.

  • Line of Business: The type of coverage (e.g., Auto, General Liability).

  • Writing Company: The specific carrier entity issuing the policy.

Optional Fields (Provide only if easily available)

  • Policy Number: Individual policy identifier.

  • Customer Number: Your internal client ID.

  • Note: If your system cannot easily export policy or customer numbers, you may leave these fields blank.

Reporting Frequency & Logic

  • Timing: Extract this data consistently each month as soon as the previous month officially closes.

  • Lookback Period: While we ask partner agencies to run standard reports on a 12-month moving basis, the unique nature of this specific dataset means you only need to pull data for the single, most recently closed month.

Submission Process

Consistency is vital for accurate tracking. Please establish a recurring monthly reminder to ensure timely submission.
